Office Administrator

Growing tech company is seeking high energy, enthusiastic candidates for an Office Administrator position. RESPONSIBILITIES -Conduct clerical duties, including filing, answering phone calls, responding to emails, tracking/organizing client contracts and collecting mail. -Perform accounting tasks, including invoicing, budget tracking, reconciling accounts in Quickbooks and payroll. -Maintain office inventory, ordering/stocking and running errands (office supplies, break room supplies, and conference room supplies) while upholding fiscal responsibility. -Manage and support human resource policies and issues via Zenefits HR software. Assist all employees with enrollment, questions and issues regarding basic benefits, health insurance, PTO time and payroll issues. -Foster team culture and help to plan and organize CE21 special functions and social events. -Marketing logistics - Lead and participate in the choosing, design and the ordering/inventory of marketing materials, trade show giveaways, t-shirts and other items. -Tradeshow logistics - Managing tradeshow calendar, logistics, shipping, travel, assets, and general trade show planning, ensuring most efficient and cost-effective travel are used and tracking travel expenses. -Support the CEO, sales department and other staff in administrative tasks (ordering business cards, promotional/marketing materials e.g.) -Help track sales opportunities, sales contracts, and onboarding tasks through Copper (formerly Prosperworks). -Create office administrative processes and systems to enable growth and efficiencies ADDITIONAL RESPONSIBILITIES As CE21 is a smaller company, we all wear many hats at work. Some other, non-administrative jobs you will be asked to perform are: -Customer Support Assistance. Receive and resolve incoming customer inquiries via phone through our call center and through our help desk ticketing system -Assist with CE21 social media posts. -Assist with testing of CE21 platform. -Various other tasks driven by business needs SKILLS -General accounting and financial knowledge. Proficient math and strong analytical skills. -Highly detail oriented with a strong ability to manage multiple projects, deadlines, clients and tasks simultaneously. -Problem-solving and analytical mentality is a must -Outstanding communication and interpersonal abilities -Excellent organizational and leadership skills -Strong creative instincts and an eye for design is helpful. EXPERIENCE -Proven experience in the capacity of an administrative assistant or office administrator: 2+ years (Required) -QuickBooks: 1+ years (Recommended) -G Suite: 1 year (Preferred) -Background in working with HR software or department in a previous company: 1 year (Preferred) -Customer Support / Service: 1+ years (Preferred)
